Contacted this company April, of 2014 for document scanning services. Received a ridiculously low quote to scan all of my files. Met with a representative form the company at my office location. He actually looked at all of my files and gave me a good faith estimate of the number of files. He offered me a per box rate and a per page rate. It was estimated that I had a 100,000 documets. I believe the per box rate would have been 90 per box and the per page rate was at 4 cents ber page.

After a lengthy discussion with the representative, I was persuaded into taking the per page rate. The represantive mis-represented to me that if it turned out cheaper to be billed the per page rate he would adjust the billing. This turned out to be an outright lie. After the job was completed BEHIND schedule, we got a bill that was 50% more than the estimate.

I asked about going with the per box rate then things got interesting. I was told all kind of things like well the boxes were over filled per industry standards, the job was harder then we expected, and so on. I didnt really understand this because they actually picked up my boxes from our location. They saw the boxes before they started work. The job had took longer than quoted, I didnt have time to argue I needed my files back so I just paid them. They did actually have possession of my files, I didnt want any trouble.

Then I actually started looking at the work. I looked through a couple of the scanned computer files. Then we made a troubing discovery. We got billed for a huge number of blank pages. Scanning companies do not charge for blank pages. Im not just talking hundreds of blank pages but thousands. 12,394 to be exact. This adds up to a decent amount of money even at 4 cents a page. I immediatley brought this up to my representative and he said I would be refunded the money. So when it came time to give us the money they came up with excuses. How am I not owed money back if they incorrectly billed me for an additional 12,394 pages?

Bottom line is I was lied to when I entered into the agreement with them and I was billed incorrectly. And when I found the mistake I got excuses as to why I was not entitled to a refund.

Other than the questionable bill and misrepresentations the work was done I can say that, but how hard is it to scan a document.

DSG Statement On Attorney Reggie London's Project

#2REBUTTAL Owner of company

Wed, July 09, 2014

Document Scanning Guys are proud of our customer service track record and the ethics upon which we run our business. Because of this, we would like to take the opportunity to present this rebuttal in regards to the report filed by Attorney Reggie London of the Law Office of London & London.

We met with Attorney Reggie London to provide an estimate for his document scanning project.  We reviewed the boxes and file cabinets to be included in the quote and informed Attorney London, as we do with all our clients when they ask, that providing an estimate based on boxes is not fair to the client. As we find with every project, many boxes are not full.  Why would you pay the same rate to scan a box that may be half or three quarters full, that you would for a box that is completely full?  Because of this, it is our business policy to price jobs by the image. This ensures the client gets charged for the exact work that was completed and nothing more.  Secondly, we sent Attorney London a full project proposal and contract, which included per image pricing, which he signed and approved.

In regards to the project being completed behind schedule, this is true, due to additional work that was requested of us by Attorney London.  In addition to scanning his documents, he requested several other items which involved manual non-scanning processes, which extended the timeline of the project, but it was something we happily did at NO extra charge, even though it was not a part of our executed contract.

Two problems occurred during the project, both of which we took responsibility for and corrected quickly. The first being a product delivery with blank pages remaining in the end product, and the second being an incorrect billing due to an accounting error.  Both of these we acknowledged as our mistakes not only in person, but via an email and through a written letter to Attorney London.

The accounting error resulted from Attorney London not being charged any sales tax on his invoice. This was caught quickly and a revised invoice with sales tax was sent.  The first invoice did contain charges for the blank pages. This was our mistake, plain and simple. But, after we removed the blank pages, completed additional scanning work Mr. London requested, and charged the legally required amount of sales tax, his bill came out to be HIGHER than the original.

With this in mind, we told Attorney London that we would zero out the amount due and take care of his sales tax out of our own pocket.  Because of this, he received a discount on the contractual services and the additional scanning work he requested, as well as getting the manual services complete for free. A gesture on our part that saved him well over $1,200.00.
